Using Emerald Bay as a guest group

Visiting groups remain the responsibility of their organising body. Supervisors must stay with participants, follow staff instructions, and respect members using the clubhouse at the same time.

These notes apply to schools, NGOs, uniformed groups, and National Sports Associations booked under the opening-up scheme. Confirmation email from the office is the final instruction for your date.

Before you arrive

Four rules that apply to every visit

Supervision

Stay with your group

Named supervisors remain on site for the full booking. Children and juniors are never left unsupervised on the beach, deck, or pontoon.

Facilities

Use confirmed areas only

Stay within the rooms, BBQ pits, beach, or craft named on the confirmation. Member-only spaces and stored boats are off limits.

Water

Follow safety staff

Wear PFDs for all on-water activity as directed. Leave the water if staff close it for wind, tide, or an incoming member session.

Parking

Reserve weekend parking

Guest parking on Saturdays, Sundays, and public holidays must be booked in advance. Display the pass issued with your confirmation.

On land

Clubhouse, BBQ, and beach

  • Arrive only in the confirmed time window and report to the clubhouse manager.
  • Carry a printed or phone copy of the participant list and emergency contacts.
  • Dress for sport. No bare feet except in changing rooms. Swimwear is for the beach and water, not the dining deck.
  • Pets are not permitted. Smoking is limited to any marked outdoor area.
  • Leave BBQ, deck, and beach areas clean. Follow charcoal, fire, and waste rules posted on site.
  • Alcohol and corkage follow member house rules unless the booking states otherwise.
On the water

Craft, coaching, and weather

  • Launch only from the beach or pontoon assigned on the day.
  • PFDs are compulsory for all paddlers and swimmers in open water unless a coach records an exception in writing.
  • Do not handle stored member craft, dragon boats, or outriggers without a named coach present.
  • Stop activity immediately if club staff close the water (typically Force 3 and above, or a local warning).
  • Photography of other groups or members requires their consent. No drones without prior written approval.
  • First aid is with club staff. Serious incidents are reported to the manager before the group leaves.

  • Confirmation email and supervisor contacts
  • Sun protection, drinking water, and a change of clothes
  • Closed-toe shoes for the clubhouse and pontoon
  • Any medical notes the office asked you to carry
Leave behind

Not permitted on site

  • Pets, speakers, and personal BBQs
  • Glass on the beach or pontoon
  • Unbooked vehicles on weekends and holidays
  • Drones, fireworks, and open fires outside the BBQ pits

Common questions

Access FAQs

Can we arrive early to set up?

No. Access starts at the confirmed time so staff can finish the previous group and check the beach. Dummy note: a 15-minute load-in may be added later if the office publishes it.

May members use the clubhouse while we are there?

Yes. Opening-up visits share Emerald Bay with members. Keep walkways, showers, and the bar terrace clear unless those areas are named on your booking.

What if the weather turns?

The clubhouse manager may move you indoors, shorten the water session, or cancel on-water activity. Land BBQ and classroom bookings usually continue unless a typhoon or rainstorm warning is in force.
