Send your Emerald Bay request in writing

Outside-body visits are booked by email. Attach the completed activity registration PDF and write to enquiry@vrc.com.hk. A phone call can clarify dates; it does not hold a slot.

Once a date is under discussion, you may also telephone the main office on +852 2178 2221 / +852 2178 2222, or Emerald Bay on +852 2792 2721. Guest parking must be requested in the same first email.

What to write, and what to attach

In the message

Put every field in one email

  • Organisation name and eligibility category (school, NGO, uniformed group, or NSA).
  • Named organiser, email, and mobile for the visit day.
  • Preferred date plus at least two alternatives.
  • Arrival and departure times you are requesting.
  • Headcount, age range, and named supervisors.
  • Facilities: beach, deck, BBQ pits, launching, or indoor space.
  • Transport plan and whether weekend or holiday parking is needed.

  • Completed activity registration PDF from Booking Forms.
  • A short covering letter on organisation letterhead (dummy: one page PDF).
  • Proof of eligibility if the office has not booked you before (dummy: school or NGO certificate scan).
  • Coach or NSA credentials if you are requesting a launching slot.

How-to-book FAQs

Can I book through the Emerald Bay email only?

No. First requests go to enquiry@vrc.com.hk so the office can log the form. Copy mgemb@vrc.com.hk only when the office includes that address on a thread.

What subject line should we use?

Name the organisation and the first date you want. Dummy example: “Opening-up visit request — [School name] — 14 Oct 2026”. One thread per visit keeps the file together.

Should parking be a separate email?

No. Ask for weekend or holiday guest parking in the same first message. A later parking-only email is easy to miss once the calendar is set.

When will we hear back?

Dummy reply window: three working days to acknowledge a complete file, then the reservation review described on Reservation Process. Incomplete emails are returned with a list of missing fields.
